Terms & Conditions

1. About Kate Oatley Flowers

Kate Oatley Flowers is a florist based at my studio on our family farm in Hilperton, Wiltshire.

I provide seasonal flowers for weddings, celebrations, events and other special occasions, as well as seasonal floral workshops.

2. Quotes and bookings

For weddings and larger events, I will provide a quotation based on the flowers, arrangements and services we have discussed.

A booking is only confirmed once you have accepted the quotation and any required booking payment has been received.

Your quotation will set out what is included, the agreed price and any important arrangements relating to your booking.

If you would like to make changes after your booking has been confirmed, I’ll always do my best to accommodate them. Changes may affect the final price, particularly where additional flowers, materials, delivery or labour are required.


3. Wedding flowers

Securing your date

A £250 booking payment is required to secure your wedding date.

This payment is non-refundable because securing your date means turning away other potential wedding bookings for that date and beginning the planning and preparation for your flowers.

Your wedding date is not confirmed until the £250 payment has been received.

Payment

The remaining balance is due 8 weeks before your wedding date.

I will send a reminder before the payment is due.

If the final balance is not received by the due date, I will contact you to discuss the situation. If payment remains outstanding, I reserve the right to review or cancel the booking, subject to the circumstances and any rights you may have under consumer law.

Changes to your wedding flowers

I understand that plans can change. If you need to make changes to your flowers, please let me know as soon as possible.

I will do my best to accommodate reasonable changes, subject to availability and the timing of your request.

Changes may result in an adjustment to the final price.

Once flowers and materials have been ordered or significant preparation has begun, some changes may not be possible.

Seasonal flowers and substitutions

I work predominantly with fresh, seasonal flowers and allow the time of year to influence my designs.

Flowers are naturally subject to seasonal availability, weather conditions and what is available from growers and suppliers.

If a particular flower, colour or variety becomes unavailable, I may need to substitute it with another flower of a similar quality, colour, style and value.

I will always aim to maintain the overall look and feel we have agreed.

Delivery and set-up

Where delivery, installation or collection is included in your quotation, the arrangements will be agreed with you in advance.

Any additional delivery, set-up, collection or waiting time not included in the original quotation may incur an additional charge.

I will need suitable access to the venue and enough time to safely set up the flowers.

Your responsibility on the day

Once flowers have been delivered and set up, their condition can be affected by temperature, sunlight, heating, wind, rain and how they are handled.

I will provide flowers in good condition and with appropriate care instructions where needed, but I cannot be responsible for deterioration caused by conditions outside my control after delivery or set-up.


4. Cancelling or postponing a wedding

If you need to cancel or postpone your wedding, please contact me as soon as possible.

The £250 booking payment is non-refundable.

Where additional payments have been made, I will consider the circumstances of the cancellation, any costs already incurred and whether the date or flowers can be resold or otherwise recovered.

If your wedding is postponed, I will always do my best to transfer your booking to a new date, subject to my availability and the availability and cost of flowers and materials.

If I am unable to provide the flowers because of circumstances beyond my reasonable control, I will discuss the options with you and, where appropriate, refund payments for services I am unable to provide.

Nothing in these Terms & Conditions affects your statutory rights.


5. Other events and celebrations

I create flowers for a wide range of occasions, including birthdays, anniversaries, dinner parties, corporate events, celebrations of life and other special occasions.

For larger or bespoke orders, I will provide a quotation before work begins.

Your quotation will confirm the flowers and arrangements requested, the agreed price and any delivery or set-up arrangements.

For smaller orders, payment may be required in full before the flowers are made.

Because flowers are seasonal and perishable, substitutions may sometimes be necessary. Where this happens, I will aim to use flowers of a similar quality, colour, style and value.


6. Celebrations of life

I understand that ordering flowers for a celebration of life can be a particularly difficult and emotional time.

I will take care to understand what you need and create flowers that feel personal and appropriate for the occasion.

Because of the nature of these orders, timings can sometimes be short. I will always do my best to accommodate urgent requests, subject to flower and supplier availability.

Any agreed quotation will set out the arrangements and price.


7. DIY wedding flower buckets

My DIY flower buckets contain fresh, seasonal flowers selected to work beautifully together.

The contents will vary according to the season and what is available at the time.

The photographs shown on the website and social media are examples of style and colour rather than an exact representation of what will be included in every bucket.

I cannot guarantee specific flower varieties unless this has been specifically agreed with you in advance.

DIY flower buckets must be collected or delivered at the agreed time so that the flowers remain in the best possible condition.

Care instructions will be provided where appropriate.


8. Seasonal workshops

I run seasonal floral workshops throughout the year from my studio in Hilperton, Wiltshire.

Workshop places are limited and are only confirmed once payment has been received.

Workshop bookings are subject to the cancellation terms set out below.

Christmas wreath workshops

Christmas wreath workshops are non-refundable.

This is because I order foliage, materials and other seasonal ingredients specifically for the number of people booked onto each workshop.

If you are unable to attend your booked workshop, please let me know as soon as possible.

I will always do my best to:

  • move your booking to another available workshop date; or

  • make a wreath for you using the materials ordered for your place, which you can then collect.

Any alternative workshop date will be subject to availability.

If I am unable to offer a suitable alternative, I will discuss the options with you.

Other workshops

Cancellation arrangements for other seasonal workshops will be explained at the time of booking where they differ from these general Terms & Conditions.

If you cannot attend a workshop, please let me know as soon as possible. Where possible, I will try to offer an alternative date or another suitable solution.

If a workshop has to be cancelled

Very occasionally, a workshop may need to be cancelled or postponed because of circumstances outside my reasonable control.

If I need to cancel a workshop, I will contact you as soon as possible and offer an alternative date or another appropriate option.


9. Workshop practical information

Workshops take place at my studio on the family farm in Hilperton.

You will be given any relevant information about parking, arrival times and what to bring before your workshop.

Please wear suitable clothing and footwear, particularly for workshops involving foliage, flowers, wire or other materials.

If you have any allergies, mobility requirements or other needs that may affect your participation, please let me know when booking so that I can do my best to accommodate you.

Children must be accompanied by a responsible adult unless the workshop has specifically been advertised as suitable for children attending independently.


10. Flowers, photographs and substitutions

Flowers are a natural product and no two arrangements will ever be exactly the same.

My designs are intentionally seasonal and garden-inspired, so the finished flowers may vary slightly from photographs or examples shown on the website, particularly where specific varieties are unavailable.

I reserve the right to make reasonable substitutions where necessary while maintaining the overall style, colour palette, quality and value of the agreed design.

If a significant change is necessary, I will discuss this with you where reasonably possible.


11. Prices and payment

All prices will be confirmed before you make your booking or place your order.

Prices may vary depending on the season, flower availability, quantities, size, design and complexity of the work involved.

For bespoke work, the price agreed in your quotation will apply unless you request changes or additional services.

Payment methods available will be explained at the time of booking.


12. Photography and social media

I love sharing my work and may take photographs of flowers I have created for weddings, events and workshops.

I may use these photographs on my website, social media, marketing materials or other promotional channels.

I will be respectful of your privacy and will not knowingly use photographs of identifiable people without appropriate permission.

If you would prefer me not to share photographs of your flowers or event, please let me know.

You are also welcome to share photographs of your flowers and tag @kateoatleyflowers.


13. Copyright and use of my work

All photographs, written content, designs, branding and other original content created by Kate Oatley Flowers remain my intellectual property unless otherwise agreed.

You are welcome to share photographs of your flowers for personal use, provided appropriate credit is given where possible.

Commercial use of my photographs, designs or written content is not permitted without my prior agreement.


14. Caring for your flowers

I will provide your flowers in an appropriate condition and, where necessary, provide care instructions.

Fresh flowers are affected by their environment. Heat, direct sunlight, frost, wind, lack of water and other environmental conditions can shorten their lifespan.

Once flowers have been collected or delivered, I cannot be responsible for deterioration caused by how they are stored, displayed or cared for.


15. If something goes wrong

I take great pride in my work and want you to be happy with your flowers and your experience.

If something isn't right, please contact me as soon as possible so that I have the opportunity to understand what has happened and put things right where appropriate.

Your statutory consumer rights are not affected by these Terms & Conditions.


16. Circumstances outside my control

Sometimes things happen that I cannot reasonably control, such as extreme weather, serious illness, supplier failure, transport disruption, fire, flooding or other unforeseen circumstances.

If something like this affects your booking, I will contact you as soon as possible and work with you to find a reasonable solution.


17. Liability

I will provide my services with reasonable care and skill.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited, including your statutory consumer rights.


18. Privacy

Any personal information you provide when making a booking will be handled in accordance with my Privacy Policy.

19. Complaints

If you have a concern or complaint, please contact me in the first instance at:

I will do my best to resolve the matter fairly and promptly.


20. Governing law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be dealt with by the courts of England and Wales, subject to your statutory consumer rights.
